First of all, effort (sometimes significant) needs to be invested in order to detect and start an improvement initiative. Secondly, once you have the improvement defined, it\u2019s important that there is a process in place that will implement that initiative \u2013 a managed process. In such way, everyone involved in the company\u2019s IT Service Management (ITSM) will know: \u201cGreat, when I start an improvement initiative there is someone to take care of it and do something.\u201d<\/p>\n<p><a href=\"https:\/\/advisera.com\/20000academy\/what-is-itil\/\" target=\"_blank\" rel=\"noopener noreferrer\">ITIL<\/a>\u00a0emphasizes improvement throughout all processes and the service lifecycle. Let\u2019s see what the characteristics are of the improvement implementation. Maybe it doesn\u2019t necessarily look that way, but an improvement initiative affects all of a company\u2019s levels \u2013 from strategic down to the individual level.\u00a0 Based on that fact, it\u2019s logical that a managed approach is needed to implement improvement initiative(s). The CSI approach does exactly that \u2013 it provides a managed way to handle improvement initiatives for all interested parties and the company itself, as well as teams or individuals.<\/p>\n<p>Let\u2019s see what the steps in the <a href=\"https:\/\/advisera.com\/20000academy\/iso-20000-documentation-toolkit\/?rel=sms-related-documents&#038;doc=continual-service-improvement-process\" target=\"_blank\" rel=\"noopener\">CSI<\/a>\u00a0approach are.<\/p>\n<p style=\"text-align: center;\"><img decoding=\"async\" class=\"aligncenter size-full wp-image-6705\" src=\"\/wp-content\/uploads\/\/sites\/6\/2016\/11\/CSI_approach.png\" alt=\"csi_approach\" width=\"403\" height=\"348\" srcset=\"\/wp-content\/uploads\/sites\/6\/2016\/11\/CSI_approach.png 403w, \/wp-content\/uploads\/sites\/6\/2016\/11\/CSI_approach-300x259.png 300w\" sizes=\"(max-width: 403px) 100vw, 403px\" \/><span style=\"font-size: 14px;\"><em>Figure: CSI approach<\/em><\/span><\/p>\n<p><strong>What is the vision?<\/strong>\u00a0\u2013 Some smaller companies don\u2019t invest many resources in developing and maintaining their mission and vision statements. But, I\u2019m sure that the management or the owner of the company has them. The vision is your guiding line, a goal you want your organization to achieve in the long run. Although creating a vision statement can sound like a fancy bureaucratic activity, it\u2019s important to have one.<\/p>\n<p>You need to know where your organization is going; i.e., it must be clear to everyone in your company how they contribute to the company\u2019s success. In practice, this means that before the real work on an improvement initiative starts, it must be clear why you are doing this, who is involved, and how to get everyone involved \u201con board.\u201d<br \/>\n<div id=\"middle-banner\" class=\"banner-shortcode\"><\/div><script>loadMiddleBanner();<\/script><br \/>\n<div id=\"side-banner-trigger\" class=\"banner-shortcode\"><\/div><br \/>\n<strong>Where are we now?<\/strong> \u2013 This is an important step in implementing the <a href=\"https:\/\/advisera.com\/20000academy\/documentation\/service-improvement-plan\/\" target=\"_blank\" rel=\"noopener noreferrer\">improvement initiative<\/a>. In this stage, you will assess your baseline or your starting point. This is important because you have to decide about the right approach and, once you are done with the implementation, compare the end state with the beginning state. Additionally, during this phase of the improvement implementation, you need to assess current capabilities (e.g., capabilities of your employees) in order to develop them further in the desired direction (for example, know-how that you need to implement the improvement) or to gain an understanding of how to best utilize existing capabilities.<\/p>\n<p><strong>Where do we want to be?<\/strong> \u2013 There are several elements that need to be clarified before the real work begins:<\/p>\n<ol>\n<li>Desired future state \u2013 it must be perfectly clear what it is that you want to achieve with the improvement. So, describe it and define who the stakeholders are (i.e., who is interested in this improvement) and talk to them about their requirements and expectations.<\/li>\n<li>Gap analysis \u2013 this is the analysis that will compare future state and current state. With such analysis you will be clear on the technology requirements, process changes, or any required (missing) capabilities of your employees.<\/li>\n<li>Categorize and prioritize \u2013 most probably, you will need several smaller improvements until you reach the desired state. So, categorize them and prioritize their implementation. It is likely that they are not of the same importance.<\/li>\n<li>Prepare the business case \u2013 almost always, you will need to prove that improvement pays back \u2013 not only in monetary values, but also describing value created, risks that exist, opportunities you have, etc. The business case is your justification of the improvement initiative.<\/li>\n<\/ol>\n<p><strong>How do we get there?<\/strong> \u2013 This is the moment when you will define how the improvement will be implemented. Once you have a plan (how and what you need to do; read the article <a href=\"https:\/\/advisera.com\/20000academy\/knowledgebase\/service-improvement-plan-sake-improvements\/\">Service Improvement Plan \u2013 For the sake of improvements<\/a> to learn more ) \u2013 you can begin with the implementation. Make sure that you defined (i.e., planned) measurable targets (new functionality) to test and measure until you are sure that you are done with the implementation.<\/p>\n<p><strong>Did we get there?<\/strong> \u2013 Once you implement the improvement(s), it must be made sure that the desired future state has been reached. During planning for the implementation, you defined CSFs (Critical Success Factors) and associated KPIs (Key Performance Indicators). It\u2019s time to check whether your decision at the beginning (what is the target of the improvement initiative, and how do you reach it) was the right one. Quite the contrary \u2013 use the lessons learned in order to make implementation of improvement initiatives even more productive.<\/p>\n<h2>Integration<\/h2>\n<p>So, you may ask yourself \u2013 What do you do with the CSI approach? The idea behind the CSI approach is to make it an everyday practice. Depending on your company and the services you support (i.e., from a complexity or a technological point of view), some of the improvement initiatives will go deeper into processes, organization, services\u2026 while some of them will stay on the \u201csurface.\u201d \u00a0But, the important thing is that you integrate improvement as a standard activity in all your processes and throughout the ITSM organization.<\/p>\n<p>The expected benefits do not only include the services you support. They also include your organization, people, and processes. And, do you know what? One of the included processes is \u2013 CSI. Efficiency of implemented improvements on CSI affects the whole organization and all other processes.
